# Building a Pitch Report

> Turn your pitch data into a story that wins the deal

## Why a Pitch Report Matters

Raw dashboards don't win deals. A prospect shown forty numbers remembers none of them. A pitch report turns their data into a short, focused story: here's where you're missing from AI answers, here's who's taking your place, and here's what we'd fix first.

Plan for about ten minutes of evidence before the conversation takes over. The conversation taking over is the goal.

## Before You Start

## Step 1: Export Your Prompt Data

Go to **Prompts** → **Your Prompts** and click **Export** to download your prompt-level data, including visibility for each prompt.

This is your working layer. Use it to sort through results while you choose your story, and keep it on hand for detailed questions during the call and for the numbers in your proposal.

## Step 2: Gather Your Evidence

Work through these views in **AEO Insights**, in this order. Before you start, set your date range so every view covers the same period.

### Visibility: The Headline Gap

Open the **Visibility** tab and compare your prospect with their competitors on visibility, average position, and share of voice. The competitor ranking table puts them side by side, and the **Compare competitors** toggle on the visibility chart plots each rival's trend against your prospect's.

Look at the gap, not just your prospect's own number. A visibility score only means something next to the rival who's beating it. Watch the trend lines too: a rival climbing while your prospect stays flat turns "you're behind" into "you're falling behind."

Together, these tell you which story you're telling:

* **Absent**: your prospect rarely appears in AI answers at all
* **Present but weak**: they appear, but usually behind competitors
* **Strong but losing ground**: they're doing well, but a rival is catching up

<Tip>
  Pick one rival to name throughout the pitch, and let the data choose. It should be whoever is actually taking your prospect's answers, which isn't always their biggest traditional competitor.

### Mentions & Citations: Where the Answers Are Lost

Open the **Mentions & Citations** tab and find the **Decision Journey** chart. It shows how often your prospect is mentioned at each stage of the buying journey:

* **Learn**: missing here means shortlists form without them
* **Consider**: missing here means they're left out when buyers compare options
* **Purchase**: missing here means ready-to-buy questions are answered with someone else's product

Click any stage to see its prompts, then click a prompt to read the full AI answers. Pull two or three real buying questions where your prospect is absent and their rival is named. Verbatim AI answers are the strongest evidence in the whole pitch.

### Topics: The Rival's Strongholds

Open the **Topics** tab and look for commercially important topics where your prospect is absent and their rival ranks. One or two are enough. Choose the ones closest to revenue.

### View as Competitor: The Winner's Side

Use the brand selector at the start of the filter bar to switch to your prospect's rival. The dashboards redraw from the rival's point of view: their visibility, their buying journey, their topics, and their share of voice.

This is often the most memorable moment in a pitch. Your prospect gets to see their competitor's scoreboard, winning. Note which buying stages carry the rival, and which of their strongest topics line up with your prospect's gaps.

### Sources: Why Them, Not Us

Open the **Sources** tab to see which websites AI engines cite when answering questions in your prospect's space. Look for the review sites, roundups, and community threads that mention the rival but not your prospect. These are, quite literally, where the rival's answers come from.

Every one of those sources is an outreach target or a content gap, which is exactly the work your engagement delivers.

### Sentiment: The Attribute Gap

Open the **Sentiment** tab to see how AI answers describe your prospect compared with their competitors. Pay close attention to attributes marked **Behind**, where a competitor is praised for something your prospect isn't mentioned for at all. If the AI consistently describes the rival as the most comfortable option and never attaches comfort to your prospect, that's a positioning loss no brand tracker would show them.

<Tip>
  Resist completeness. Query Fanout and Location are valuable once you're working together, but in a pitch they use up attention your headline needs. Pick the strongest example from each view, not every example.

## Step 3: Build the Report

Click **Export** in the top bar to open **Reports**, and create a new AI Visibility report.

Reports are built from data blocks. Add blocks from the **Blocks** sidebar, or ask the report's built-in Agent to build it for you. Keep only what serves your story, in the same order you gathered it:

1. Visibility and share of voice, with the competitor ranking
2. Mentions and the decision journey
3. Sentiment
4. Sources

Close on what you'd fix first, not on a list of features.

  A report is a snapshot. It won't change when your pitch data updates, so you stay in control of exactly what your prospect sees. Reports created inside a pitch always stay tied to that pitch's data.

## Step 4: Brand and Share It

Open the report's **Share** menu to publish it as a link. Before you share:

* **Add a password**: hand the password over on the call. It shows your prospect their data is being handled properly
* **Choose your branding**: keep Searchable's branding, hide it, or apply your own logo and colors with white-labelling

White-labelling is available on higher plans. Your logo, report name, and colors are set once in **All settings** → **White-labelling** by a workspace Owner or Super Admin, and then applied to any report you choose.

  The branding option you choose (Searchable, hidden, or your own) locks once a report is published. To switch it, unpublish the report, change the option, then publish it again. Changes to your logo, report name, or colors in White-labelling settings update published reports automatically. You can still change the password at any time.

The link is usually the best deliverable, since you control who can open it. You can also download a PDF if your prospect needs one.

  Choose branding deliberately for each prospect, then keep it consistent for the rest of that relationship.

## Step 5: Tell the Story

Bring it all together into one tight story for the call:

1. **You're absent**: the headline gap against the rival you've named
2. **Here's where it hurts**: the buying stages, verbatim AI answers, and the topics closest to revenue
3. **Here's their side**: the rival's view, winning
4. **Here's why**: the sources feeding them and the attributes they own
5. **Here's what we'd do first**: your plan, mapped to exactly those sources, topics, and attributes

Your finished pitch pack:

* The branded, password-protected report link
* Your prompt export, for detailed questions and your proposal
* A one-line diagnosis you can open the meeting with, like: "You appear in under a quarter of AI answers about your category, and for your best-selling product line, the AI recommends your competitor by name."

## Common Questions

    No. Reports are snapshots, so they stay exactly as you built them. If you'd like to update a published report with the latest data, refresh the snapshot from the **Share** menu.

    The branding option you choose locks once a report is published. Unpublish it, change the option, then publish it again. Changes to your logo, report name, or colors in White-labelling settings update published reports automatically.

    White-labelling is available on higher plans, and needs a logo or brand name set up first in **All settings** → **White-labelling**. Only a workspace Owner or Super Admin can set this up.

    Yes, you can download a PDF of your report. A password-protected link is usually the better choice, since you stay in control of who can see it.
