# Setting Up a Pitch

> Show a prospect their AI visibility before they sign

## What is a Pitch?

A **pitch** is a temporary project you create for a prospective client, so you can show them their AI visibility before they sign. Instead of promising an audit after the sale, you walk into the call with their data already in hand.

  Run the audit before the sales call, not after it. When a prospect sees their own numbers, you're presenting a diagnosis, not a sales pitch.

## How the Pitch Allowance Works

Pitches use a separate prompt allowance, shared across all of your active pitches. It doesn't count against your regular plan's prompts or projects, so pitching never eats into your clients' tracking. How large your pitch allowance is depends on your plan. See [Plans & Pricing](/getting-started/plans-pricing).

You can see how much allowance you have left on the **Pitches** tab of the All Projects page. Once it's fully used, you won't be able to create new pitches or add prompts to existing ones. Declining pitches you no longer need returns their prompts to your allowance.

  Keep each pitch focused. Smaller prompt sets mean your allowance can cover more prospects at once.

## Creating a Pitch

    Click your current project's name at the top of the sidebar, then click **View all projects** and open the **Pitches** tab.

  <Step title="Create a pitch for your prospect">
    Create a new pitch and enter your prospect's domain. Searchable sets up a pitch project around it.

    Each domain can only have one pitch. If you've pitched the same domain before, the existing pitch is reactivated rather than created again.

  <Step title="Set up their brand profile">
    Open **Knowledge Base** → **Brand profile** and check your prospect's brand name, along with any other names or spellings it goes by.

  <Step title="Add their competitors">
    In **Knowledge Base** → **Competitors**, add up to five competitors, including the rival you suspect is winning. The comparison is the heart of your pitch, so choose carefully.

  <Step title="Choose their topics">
    In **Knowledge Base** → **Topics**, add topics that cover your prospect's main commercial categories.

  <Step title="Build the prompt set">
    Go to **Prompts** → **Prompt Research** and click **Generate Prompts & Topics**, or add prompts yourself. Aim for a credible diagnosis rather than full coverage: their core category, their highest-value topics, every stage of the buying journey, and mostly unbranded questions.

  <Step title="Let the prompts run">
    Your results appear once the first visibility report completes. After that, prompts run every day.

## What's Included in a Pitch

A pitch shows a focused set of features, built for diagnosing a prospect's visibility rather than delivering ongoing work.

## Refreshing Your Data

Each pitch includes **5 manual refreshes**. To refresh, click **Refresh** in the filter bar on **AEO Insights**.

Spend them on the moments that matter, like the morning of your sales call, or after you add a competitor partway through the pitch.

## How Long a Pitch Lasts

Every pitch lasts **7 days**, with a **one-time 7-day extension**. You'll get a reminder email when a pitch is about to expire, and again once it has expired.

  Treat the time limit as a feature. Create the pitch the week you plan to sell with it, and schedule the call inside that window.

## Ending a Pitch

Every pitch ends in one of three ways:

* **Convert to client**: the prospect signs. You keep all the data, every feature unlocks, and the prompts move onto your regular plan's allowance. Day one of the engagement starts with a baseline already running.
* **Decline**: the deal is off. The prompts return to your pitch allowance for your next prospect.
* **Expire**: the time runs out and the data stops refreshing.

Once a pitch is no longer active, it's frozen: you can't edit its prompts, topics, or locations, or refresh its data.

### Finding Past Pitches

Inactive pitches stay visible, greyed out, in an **Inactive** section of your project dropdown. From there you can open the pitch, reactivate it (when eligible), convert it to a client, or hide it from the menu. You'll also find your full pitch history, including converted, paused, and expired pitches, on the **Pitches** tab of the All Projects page.

<Tip>
  Hiding a pitch only tidies up the dropdown, for everyone in your workspace. It doesn't change the pitch's status, and you can restore it from the Pitches tab at any time.

## Common Questions

    Pitches show a focused set of features by design. Everything else unlocks when you convert the pitch to a client.

  <Accordion title="Why can't I create a new pitch?">
    **Possible Causes:**

    * Your pitch allowance is fully used
    * Your role doesn't allow it. Members and Viewers can't create pitches

    **Solutions:**

    * Decline pitches you no longer need to free up allowance
    * Ask a workspace Owner, Super Admin, or Admin to create the pitch

  <Accordion title="Do pitch prompts count against my plan?">
    No. Pitch prompts use your separate pitch allowance until you convert the pitch to a client. Once converted, they move onto your regular plan's allowance.

  <Accordion title="Can I edit a pitch after it expires?">
    Once a pitch is declined or expires, it's frozen. You can reactivate an expired pitch when eligible, or convert it to a client.

    You keep everything. The pitch becomes a regular project, every feature unlocks, and the prompts start counting against your plan's allowance.
